These Terms of Service (“Terms”, “Terms of Service”) govern your use of our web pages located at www.yourepicjourney.travel (together or individually “Service”). Our Privacy Policy also governs your use of our Service and explains how we collect, safeguard and disclose information that results from your use of our web pages. Your epic journey offers travel related services including but not limited to tour packages, flights bookings, hotel reservations, and travel insurance (”Services”). 1.2.We will continue to enhance the Your epic journey ecosystem to bring better value for your data assets and will keep you posted of the progress. Any changes to the Your epic journey ecosystem features may affect your terms of use and you will be informed about the same. 1.3.The Company shall make every effort to ensure that Your epic journey is continually available to you. 2.ACCEPTANCE 2.1. We may revise or update this Agreement by posting an amended version through the Services and/or otherwise making a good faith effort to make you aware of the revisions. Your use of the Services following an update to this Agreement (or other acceptance method) is considered acceptance of the updated Agreement. If you do not accept the changes, you must stop using the Services. Any amendment to this Agreement is effective immediately upon posting. 2.2.You understand that by sharing information on the Services, and requesting information to be sent through the Services, you may be revealing information about yourself. You understand and acknowledge that you are fully aware and responsible for the impact of sharing such materials, and you agree that we shall not be held responsible, and we shall be released and held harmless by you from any liability or damages arising out of such conduct. 2.3.You are responsible for controlling the access to and use of your account. Always make sure that your password is kept confidential. You understand and agree that we may assume instructions from an individual associated with your account are authoritative and should be acted upon by us. We are not responsible for any unauthorized access to your account or profile, and any ramifications of such access, and we are not required to take action to disable any account. This includes your credit card number, its expiration date, billing address, phone number, and shipping details. 5.2.You affirm that: (i) you are authorized to use the chosen payment method(s) for your purchase; and (ii) all information you provide us is accurate, complete, and up-to-date. 5.3.To facilitate payments and complete purchases, we might use third-party services. By entering your payment details, you authorize us to share this information with these third parties, as per our Privacy Policy. 5.4.We retain the right to cancel or refuse your order for various reasons, including but not limited to issues with product or service availability, inaccuracies in product or service descriptions or prices, or errors in your order. 5.5.We also reserve the right to cancel or refuse orders that we suspect to be fraudulent, unauthorized, or involve illegal transactions. 6.SUBSCRIPTIONS 6.1.Some parts of Service are billed on a subscription basis (“Subscription(s)”). You will be billed in advance on a recurring and periodic basis (“Billing Cycle”). Billing cycles on monthy basis. 6.2.At the end of each Billing Cycle, your Subscription will automatically renew under the exact same conditions unless you cancel it or Your epic journey cancels it. You may cancel your Subscription renewal either through your online account management page or by contacting Your epic journey customer support team. 6.3.A valid payment method, including credit card, is required to process the payment for your subscription. You shall provide Your epic journey with accurate and complete billing information including full name, address, state/province zip code, telephone number, and a valid payment method information. By submitting such payment information, you automatically authorize Your epic journey to charge all Subscription fees incurred through your account to any such payment instruments. 6.4.Should automatic billing fail to occur for any reason, Your epic journey will issue an electronic invoice indicating that you must proceed manually, within a certain deadline date, with the full payment corresponding to the billing period as indicated on the invoice. 7.FEE CHANGES 7.1. Your epic journey, in its sole discretion and at any time, may modify Subscription fees for the Subscriptions. Any Subscription fee change will become effective at the end of the then-current Billing Cycle. 7.2. Your epic journey will provide you with a reasonable prior notice of any change in Subscription fees to give you an opportunity to terminate your Subscription before such change becomes effective. 7.3.Your continued use of Service after Subscription fee change comes into effect constitutes your agreement to pay the modified Subscription fee amount. 8.REFUND POLICY 8.1.Company will only provide you with a refund of the Services Fee in the event they are unable to continue to provide the Services or if the manager of Company makes a decision, at its absolute discretion, that it is reasonable to do so under the circumstances (“Refund”). 8.2.Any benefits set out in this Terms and Conditions may apply in addition to consumer's rights under the Australian Consumer Law. 8.3.The paid Subscription fees are not refundable. 9.DATA OWNERSHIP 9.1.You own your Data at Your epic journey at all time. You choose what data you share by opting into opportunities in the Your epic journey app or service, which will each have distinct details about how your data will be used. 10.PRIVACY 10.1.You acknowledge that you have read and understand our Privacy Policy. 10.2.You may review our Privacy Policy at any time by clicking on the Privacy Policy link on out Site. 11.ELIGIBILITY 11.1.You are at least 13 years of age. 11.2.You use the Website and Services according to these Terms and all applicable laws and regulations determined by the state and country of residence. 11.3.You provide complete and accurate registration information and maintain accurate registration information on the Website. 11.4.You agree and understand that Your epic journey may, at any time, and without prior notice, revoke and/or cancel your access if you fail to meet these criteria or violate any portion of these Terms. 12.COMMUNICATIONS 12.1.By creating an Account on our Service, you agree to subscribe to newsletters, marketing or promotional materials and other information we may send. 12.2.You may opt out of receiving any, or all, of these communications from us by following the unsubscribe link or by emailing at info@yourepicjourney.travel 13.ACCESS AND USE 13.1.You must only use the Website in accordance with these Terms and any applicable law. 13.2.You must not (or attempt to): 13.2.1. Inaccurate, incomplete, or obsolete information may result in the immediate termination of your account on Service. 15.2.You are responsible for maintaining the confidentiality of your account and password, including but not limited to the restriction of access to your computer and/or account. 15.3.You agree to accept responsibility for any and all activities or actions that occur under your account and/or password, whether your password is with our Service or a third-party service. 15.4.You must notify us immediately upon becoming aware of any breach of security or unauthorized use of your account. 15.5.You may not use as a username the name of another person or entity or that is not lawfully available for use, a name or trademark that is subject to any rights of another person or entity other than you, without appropriate authorization. 15.6.You may not use as a username any name that is offensive, vulgar or obscene. 15.7.We reserve the right to refuse service, terminate accounts, remove or edit content, or cancel orders in our sole discretion. 16.REGISTRATION, LOGIN CREDENTIALS AND SECURITY 16.1.In order to be able to make use of and access the Services and Website, you shall register on the Website by providing the Company with all required information which includes but is not limited to your full name, preferred username, mailing address and contact information (email and phone number), date of birth, passport information, driving license information, flight booking details, heatlh insurance details, medicare card. 16.2.You agree to (i) provide true, accurate, current and complete information about yourself as prompted by the sign-up process; and (ii) maintain and promptly update the information provided during registration to keep it true, accurate, current, and complete. 16.3.Each Your epic journey account can be accessed by holder via the (“Account”). 16.4.If you provide any information to the Company that is untrue, inaccurate, outdated or incomplete, or if we have reasonable grounds to suspect that such information is untrue, inaccurate, outdated or incomplete, we may terminate your Account with us and refuse current or future use of any or all of the Services and Your epic journey. 16.5.When registering an Account, if you are registering with the Company as a customer, you may provide the Company with your choice of Account password and username (“Login Credentials”). 16.6.You hereby: 16.6.1.acknowledge and agree that you are solely responsible for maintaining the confidentiality of your Login Credentials and for any and all activities that occur under your account; 16.6.2.agree to notify the Company immediately of any unauthorized use of your account or of any other breach of security. The Company shall not be liable for any loss that you may incur as a result of any third party using your Login Credentials or Account, either with or without your knowledge. WITHOUT LIMITING THE FOREGOING, NEITHER THE COMPANY NOR ANYONE ASSOCIATED WITH THE COMPANY REPRESENTS OR WARRANTS THAT THE SERVICES, THEIR CONTENT, OR ANY SERVICES OR ITEMS OBTAINED THROUGH THE SERVICES WILL BE ACCURATE, RELIABLE, ERROR-FREE, OR UNINTERRUPTED, THAT DEFECTS WILL BE CORRECTED, THAT THE SERVICES OR THE SERVER THAT MAKES IT AVAILABLE ARE FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS OR THAT THE SERVICES OR ANY SERVICES OR ITEMS OBTAINED THROUGH THE SERVICES WILL OTHERWISE MEET YOUR NEEDS OR EXPECTATIONS. 25.3.THE COMPANY HEREBY DISCLAIMS ALL WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, STATUTORY, OR OTHERWISE, INCLUDING BUT NOT LIMITED TO ANY WARRANTIES OF MERCHANTABILITY, NON-INFRINGEMENT, AND FITNESS FOR PARTICULAR PURPOSE. 25.4.THE FOREGOING DOES NOT AFFECT ANY WARRANTIES WHICH CANNOT BE EXCLUDED OR LIMITED UNDER APPLICABLE LAW. 26.LIMITATION OF LIABILITY 26.1.EXCEPT AS PROHIBITED BY LAW, YOU WILL HOLD US AND OUR OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS HARMLESS FOR ANY INDIRECT, PUNITIVE, SPECIAL, INCIDENTAL, OR CONSEQUENTIAL DAMAGE, HOWEVER IT ARISES (INCLUDING ATTORNEYS' FEES AND ALL RELATED COSTS AND EXPENSES OF LITIGATION AND ARBITRATION, OR AT TRIAL OR ON APPEAL, IF ANY, WHETHER OR NOT LITIGATION OR ARBITRATION IS INSTITUTED), WHETHER IN AN ACTION OF CONTRACT, NEGLIGENCE, OR OTHER TORTIOUS ACTION, OR ARISING OUT OF OR IN CONNECTION WITH THIS AGREEMENT, INCLUDING WITHOUT LIMITATION ANY CLAIM FOR PERSONAL INJURY OR PROPERTY DAMAGE, ARISING FROM THIS AGREEMENT AND ANY VIOLATION BY YOU OF ANY FEDERAL, STATE, OR LOCAL LAWS, STATUTES, RULES, OR REGULATIONS, EVEN IF THE COMPANY HAS BEEN PREVIOUSLY ADVISED OF THE POSSIBILITY OF SUCH DAMAGE. EXCEPT AS PROHIBITED BY LAW, IF THERE IS LIABILITY FOUND ON THE PART OF THE COMPANY, IT WILL BE LIMITED TO THE AMOUNT PAID FOR THE PRODUCTS AND/OR SERVICES, AND UNDER NO CIRCUMSTANCES WILL THERE BE CONSEQUENTIAL OR PUNITIVE DAMAGES. 27.TERMINATION 27.1.We may terminate or suspend your account and bar access to Service immediately, without prior notice or liability, under our sole discretion, for any reason whatsoever and without limitation, including but not limited to a breach of Terms. 27.2.If you wish to terminate your account, you may simply discontinue using Service. 27.3.All provisions of Terms which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity and limitations of liability. 28.DISPUTE RESOLUTION 28.1.Compulsory: If a dispute arises out of or relates to the Terms, either party may not commence any Tribunal or Court proceedings in relation to the dispute, unless the following clauses have been complied with (except where urgent interlocutory relief is sought). 28.2.Notice: A party to the Terms claiming a dispute (“Dispute”) has arisen under the Terms, must give written notice to the other party detailing the nature of the dispute, the desired outcome and the action required to settle the Dispute. 28.3.Resolution: On receipt of that notice (“Notice”) by that other party, the parties to the Terms (“Parties”) must: 28.3.1.Within 28 days of the Notice endeavor in good faith to resolve the Dispute expeditiously by negotiation or such other means upon which they may mutually agree; 28.3.2.If for any reason whatsoever, 28 days after the date of the Notice, the Dispute has not been resolved, the Parties must either agree upon selection of a mediator or request that an appropriate mediator be appointed by the Arbitration Centerl; 28.3.3.The Parties are equally liable for the fees and reasonable expenses of a mediator and the cost of the venue of the mediation and without limiting the foregoing undertake to pay any amounts requested by the mediator as a precondition to the mediation commencing. The Parties must each pay their own costs associated with the mediation; The mediation will be held in New South Wales, Australia. 28.4.Confidential: All communications concerning negotiations made by the Parties arising out of and in connection with this dispute resolution clause are confidential and to the extent possible, must be treated as "without prejudice" negotiations for the purpose of applicable laws of evidence. 28.5.Termination of Mediation: If 2 months have elapsed after the start of a mediation of the Dispute and the Dispute has not been resolved, either Party may ask the mediator to terminate the mediation and the mediator must do so. 28.6.The language of the arbitration shall be English. The number of arbitrators shall be one. 29.GOVERNING LAW 29.1.These Terms shall be governed and construed in accordance with the laws of New South Wales, Australia without regard to its conflict of law provisions. 29.2.Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. If any provision of these Terms is held to be invalid or unenforceable by a court, the remaining provisions of these Terms will remain in effect. 29.3.These Terms constitute the entire agreement between us regarding our Service and supersede and replace any prior agreements we might have had between us regarding Service. 29.4.Each party irrevocably agrees that the courts of the New South Wales, Australia shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with this agreement or its subject matter or formation (including non-contractual disputes or claims). 29.5.Notwithstanding the specified agreement on jurisdiction, you and the Company shall, if any dispute arises, attempt to settle it by mutual negotiations. 30.CHANGES TO SERVICE 30.1.We reserve the right to withdraw or amend our Service, and any service or material we provide via Service, in our sole discretion without notice. 30.2.We will not be liable if for any reason all or any part of Service is unavailable at any time or for any period. 30.3.From time to time, we may restrict access to some parts of Service, or the entire Service, to users, including registered users. 31.AMENDMENTS TO TERMS 31.1.We may amend Terms at any time by posting the amended terms on this site. It is your responsibility to review these Terms periodically. 31.2.Your continued use of the Platform following the posting of revised Terms means that you accept and agree to the changes. 31.3.You are expected to check this page frequently so you are aware of any changes, as they are binding on you. 31.4.By continuing to access or use our Service after any revisions become effective, you agree to be bound by the revised terms. 31.5.If you do not agree to the new terms, you are no longer authorized to use Service. 32.INDEMNITY 32.1.You agree to indemnify, defend and hold harmless us and our related entities, affiliates, and our and their respective officers, agents, and employees, harmless from and against any and all claims demands (actual, special and consequential) of every kind and nature, known and unknown, including reasonable legal fees, made by any third party due to or arising out of your breach of these terms or your breach of any law or the right of third party. 33.WAIVER AND SEVERABILITY 33.1.No waiver by the Company of any term or condition set forth in Terms shall be deemed a further or continuing waiver of such term or condition or a waiver of any other term or condition, and any failure of the Company to assert a right or provision under Terms shall not constitute a waiver of such right or provision. 33.2.If any provision of Terms is held by a court or other tribunal of competent jurisdiction to be invalid, illegal or unenforceable for any reason, such provision shall be eliminated or limited to the minimum extent such that the remaining provisions of Terms will continue in full force and effect. 34.NO PARTNERSHIP 34.1.You agree that no joint venture, partnership, employment, or agency relationship exists between you and us as a result of this Agreement or your use of the Services. 35.COMPETITORS 35.1.If you are in the business of providing similar Services for the purpose of providing them to users for a commercial gain, whether business users or domestic users, then you are a competitor of Company. Competitors are not permitted to use or access any information or content on our Application. Cancellation Policy
CANCELLATION POLICY 1.Objectives and Background (a)HTA Ventures Pty Ltd (Your Epic Journey) is committed to providing the best service in a timely manner. We aim to accommodate your needs. (b)Unfortunately, when a client cancels without giving adequate notice, it prevents another client from being served. This cancellation policy is used as a way of respecting the time commitment of all involved. It explains the process for requesting a cancellation and the fees applicable. This policy is used in fairness to both our business and the clients who would otherwise have wanted an appointment. (c)We are implementing a straightforward cancellation policy to be upfront about all the costs you may face when engaging our services. 2.Cancellation Process (a)We understand situations can arise in which you must cancel your appointment. Due to limited appointment availability, we request that you cancel with adequate notice. This allows us to fill that booking slot. (b)You may cancel by contacting us by: (i)phone 0491171900; or (ii)email info@yourepicjourney.travel. 3.If you cancel within 7 days of the Booking Date (the Cooling-Off Period), your deposit will be fully refundable. You may also choose to transfer your deposit to a new booking should you wish to change to another package or destination. After the Cooling-Off Period, all bookings become non-refundable. 4.All requests for cancellations or changes must be submitted in writing to our Travel Consultant team before the cut-off period so we have adequate time to review and process your request. If we do not receive written notice within this timeframe, your booking will become non-refundable and you will receive a reminder for the second instalment payment. Any “No Show” will incur a 100% cancellation fee of the total tour cost. 5.Refund processing times may vary and will be communicated at the time of cancellation. Any approved refund will be returned to the original method of payment. (a) (b)All references to cancellation of appointments in this clause are also a reference to rescheduling of appointments. Refund times will vary, and the timeframe for which will be advised at the time of cancellation. Any refund of the deposit will be issued back to the original form of payment. 6.Acceptable circumstances for waiving the refund policy We understand that plans may change due to uncontrollable and external circumstances. Missed appointments can be unintentional or may stem from an emergency, etc. Therefore, subject to approval by HTA Ventures Pty Ltd, cancellation due to such circumstances will not result in a forfeited deposit. 7.Questions Our business firmly believes that a good client and business relationship is based upon mutual understanding. Questions about our cancellation policy should be directed to 0491171900. 8.Agreement Please sign that you have read, understood and consented to this Cancellation Policy. By signing, you understand that you are holding a spot and may be charged a cancellation fee if a booking is cancelled without providing at least 7 days' notice or if the booking is missed. The cancellation fee will be 100% of the package cost for missed booking. Payment must be made within 1 business day via credit card or direct deposit. Outstanding cancellation fees must be settled before booking future appointments. 9.Dispute Resolution Process Any disputes regarding cancellations will be addressed within 14 business days. Clients must submit concerns in writing to info@yourepicjourney.travel . Our team will provide a detailed response outlining available resolution options and next steps. CANCELLATION BY YOUR EPIC JOURNEY Your Epic Journey reserves the right to cancel or modify a tour prior to departure if minimum participant numbers are not met. In such cases, alternative guaranteed travel dates will be offered. If these alternatives are not suitable, Your Epic Journey will not be responsible for any additional costs or losses incurred by the traveler.
Reservation
Reservation and Deposit Tour prices are subject to the availability of the tour, airline seats, special economy-class fares, and specific airfare class availability. Prices may change once the allocated airfare class is sold out. All services are offered subject to availability. A deposit must be submitted to Your Epic Journey or your travel agent within seven days of receiving confirmation that space has been held for you. This deposit secures your tour booking. Depending on airline conditions, special fares, or current promotions, an additional amount and/or early airfare deposit may be required within four weeks of the initial deposit. This will be communicated at the time of quotation. Your Epic Journey may release promotional specials that apply only to new bookings. Existing bookings cannot be transferred to future specials. Once the deposit and/or airfare portion has been paid, airline tickets will be reserved and fares are not eligible for transfer or adjustment to promotional prices. Passenger names must be provided exactly as they appear in the passport (including all middle names) at the time of booking, along with a valid passport copy. Any spelling amendments after the deposit has been paid must be submitted in writing and will incur additional fees, including airline ticket reissue charges. If you choose not to use our air-and-land inclusive packages, you must email your confirmed flight itinerary and passport copy at the time of final payment so that transfers and visas can be arranged. Any verbal quote provided is an estimate only and is subject to written confirmation. Your Epic Journey reserves the right to correct any errors in quoted or calculated rates, or commission allocations, at any stage of the booking process. Packages involving budget airlines require full payment per person at the time of booking. Private customised tours require a 30% deposit at the time of confirmation, with the remaining balance due 60 days prior to the tour departure, payable via company invoice.
Deposit Acknowledgement
Receipt of Deposit By submitting a deposit, the client agrees to be bound by all terms, conditions, and responsibilities outlined in this document. The client further acknowledges and agrees that: – All travellers are fit and physically capable of participating, without assistance, in the group tour as described in the itinerary. – All travellers on a Private Customised Tour are fit and physically capable of completing the activities in their selected itinerary independently. – All participants understand the physical requirements of the tour they have chosen and accept that they are joining the tour at their own risk. – Any medical or dietary information provided to Your Epic Journey does not, under any circumstances, make Your Epic Journey liable should a condition worsen during the tour or impact the participant’s ability to engage in any part of the itinerary. All deposits become non-refundable after the 7-day cooling-off period.
Payments
The final balance for all travel arrangements is due to Your Epic Journey no later than 120 days prior to the confirmed tour departure date, as indicated in your booking confirmation. Failure to make full payment by the due date may result in additional charges, including a late payment fee of no less than $50 per booking, or may lead to cancellation at the company’s discretion. Your Epic Journey also reserves the right to request partial payment of the final balance more than 90 days before departure (e.g., the airfare portion) if airline tickets need to be issued by our office or our overseas operators due to ticketing deadlines. Deposits and payments made by credit card will incur a third-party processing fee, which is payable by the customer. When Refunds and Credits Will Not Be Available For clarity, and subject to the terms outlined above, refunds or credits will not be issued in the following circumstances: – If you voluntarily change your mind. – If you fail to read or understand the Your Epic Journey Terms & Conditions or the product Fine Print. – If you do not obtain the required travel documents, including passports, visas, or medical certificates. – If the travel experience does not meet your personal expectations. – If you are dissatisfied with reasonable amendments made to your itinerary. – If you are considered a “no-show,” including failing to check in for your flight on time. – If you are unable to arrive at the designated tour starting point at the required time. – If you fail to obtain suitable travel insurance. – If you choose to cancel your booking before a formal suspension notice is issued by Your Epic Journey. – If you cancel due to concerns about the destination when your package is still scheduled to operate. – If travel is prevented due to a Force Majeure event. – If a service cannot be delivered for reasons beyond the control of Your Epic Journey. – If your booking is cancelled due to abusive, harassing, inappropriate, or illegal behaviour. – If you hold an existing credit from previously disrupted travel. – If your credit has expired, or for any reason not expressly stated in these terms as eligible for a refund or credit.
Reservation
Fees
A booking may require either a deposit or full payment, and all prices are displayed on the website prior to purchase unless modified by a promotional campaign or special offer. Any such promotions are subject to their specific terms and conditions. All prices are listed on a per-person, twin-share basis. It is the customer’s responsibility to review all booking details before making payment, as refunds may not be available and cancellation fees may apply if you choose to cancel. You are responsible for ensuring all required payments are made, including any additional charges for optional activities, itinerary changes, or remaining balances if only a deposit was paid—regardless of whether the booking includes other travellers or is made on behalf of another party.
Tour Details
Airlines All airfares are arranged in accordance with the terms of the specific package and may be booked at any time after reservation, at the discretion of Your Epic Journey. If no variations are requested at the time of booking, the package airfare will be ticketed automatically with no additional correspondence or charges. When multiple airlines are listed in the package details, the final airline selection will be made solely by Your Epic Journey and may vary depending on availability and operational requirements. Any customer-requested changes to the package airfare will be quoted separately, and additional fees will apply. Once airfares have been issued—whether or not the ticket details have been provided to the customer—any amendments will incur charges from both Your Epic Journey and the airline. Airfares will be booked based on the information supplied by the customer; Your Epic Journey will not be liable for costs resulting from incorrect or incomplete information. Schedule changes, delays, or disruptions are determined exclusively by the airline. Your Epic Journey is not responsible for any resulting expenses, such as costs to rejoin the tour at another location, nor will any unused components of the package be refunded. Customers are responsible for familiarising themselves with airline-specific terms and conditions, including baggage allowances and conditions of carriage, and for regularly checking flight schedules for changes prior to departure. Hotel Descriptions, Maps and Images Hotels listed in the package are provided as a general guide. If a listed hotel is unavailable, a property of similar standard will be arranged. Travellers on the same tour may be accommodated in different hotels, and no compensation will be provided for differences in accommodation. While Your Epic Journey makes every effort to select reputable and suitable hotels, daily operations of the property remain outside our control. Your Epic Journey is not liable for any injury, illness, or reduced enjoyment caused by hotel shortcomings. Requests for specific room types or configurations are subject to availability. Efforts will be made to secure non-smoking rooms, but availability may be limited depending on local customs and practices. Hotel descriptions are based on information provided by suppliers and contractual commitments. Facilities may change at any time. Maps and photographs are for general reference and may not represent the exact hotel location, room, or facilities. Your Epic Journey strives for accuracy but does not guarantee the completeness of all published descriptions. Transfers Transfers included within a package may be provided on a group or private basis. Transfers cannot be redirected to alternate pick-up or drop-off locations. If a customer misses a scheduled transfer for any reason, it is their responsibility to reach the next meeting point at their own cost. Unused transfers are non-refundable. If a customer requests flight variations such as early arrival or late departure, included transfers may not be available and are subject to package-specific conditions. Changes to Itinerary All itineraries are intended as a guide only and may be altered without notice at the discretion of Your Epic Journey. Changes may be made for reasons including, but not limited to, weather conditions, civil unrest, road closures, or to ensure traveller safety. Itineraries may also be amended due to local circumstances or events. Notification of changes may or may not be possible prior to departure. Your Epic Journey is not responsible for any additional costs arising from itinerary changes outside its control, nor are customers entitled to refunds for such alterations. Conduct Your Epic Journey reserves the right to remove any traveller from a tour if their behaviour is deemed inappropriate, disruptive, or detrimental to the enjoyment or safety of other participants. No refund will be issued to travellers removed for misconduct.
Health is Wealth
Health Requirements All travellers are responsible for familiarising themselves with health requirements specific to the countries they will visit. Any pre-existing medical conditions should be discussed with your doctor to confirm your suitability for the chosen tour. If you or any member of your party has a medical condition, dietary requirement, food allergy, or disability that may affect travel, you must provide full details in writing prior to booking. This allows us to assist you in assessing the suitability of your travel arrangements. You must promptly notify us of any changes to your health that could impact your tour after booking confirmation. In the interests of your own safety and the well-being of your group, Your Epic Journey reserves the right to restrict your participation in a tour if a physical or psychological condition arises that could significantly affect your enjoyment or the safety of others. You are responsible for arranging any accommodations required for medical or dietary conditions. Your Epic Journey will not be liable for any portion of the tour cost that is unused due to your condition. Providing medical or dietary information does not make Your Epic Journey liable if your condition worsens or affects your ability to participate in any part of the tour. Medical and dietary information collected is used solely to process your booking and may be shared with suppliers or partners overseas to assist in accommodating your condition wherever possible. Health Precautions Some countries may require vaccinations or deny entry if health requirements are not met. Consult relevant medical specialists before travel. Refer to government travel advice sources, such as SmartTraveller, for guidance on health precautions.
Documents & Visas
Travel Documents & Visa Processing All travellers must hold a passport with a minimum validity of six months for all destinations included in our tours. Visa fees and visa invitation letters are not included in the tour price. If you wish to use our visa assistance service, please contact our reservation executive, and we will help facilitate your application. Non-Australian passport holders may incur additional fees, and Your Epic Journey may be unable to assist with visa processing for certain nationalities. If passports, passport scans, or passport information are not received by Your Epic Journey at least 75 days prior to departure, an urgent visa processing fee will apply. Unless otherwise requested, passports will be returned with final documentation approximately four weeks before departure. If passports are required earlier, additional fees may be charged. Responsibility for the accuracy of documentation, passport validity, provision of required passport photos, and costs associated with sending passports to Your Epic Journey and returning documents rests entirely with the customer. Your Epic Journey accepts no liability for any errors or omissions in this regard. Please note that Your Epic Journey does not issue visas. We submit passports and applications for visas to the relevant authorities, but cannot guarantee that any visa will be granted. Your Epic Journey accepts no responsibility if a visa application is refused. Any cancellation fees or other expenses resulting from visa refusal are the sole responsibility of the customer.
